 Part time Volunteer Program Coordinator:
South Side Settlement House
  

Position title: Volunteer Program Coordinator

  

Position Summary:  The Volunteer Program Coordinator will guide, oversee, and implement the basic elements of an effective volunteer program, managing the inquiry-to-placement process, maintaining volunteer personnel records, providing volunteer supervision coaching and guidance to paid and unpaid staff who supervise volunteers, and creating reports that reflect accurately the scope and impact of volunteer involvement in the agency.

  

Key Responsibilities:

 

    Review, revise, and develop volunteer positions in collaboration with program staff

 

    Serve as primary point of contact for all new volunteer interest inquiries

 

    Interview, screen, provide agency orientation for, and place new volunteers in positions that appropriately match their skills and abilities to mission-relevant and meaningful work

 

    Maintain electronic and hard copy volunteer personnel records

 

    Work with paid and volunteer staff to plan and implement volunteer recognition events and appreciation activities

 

    Develop and implement volunteer recruitment activities

 

    Communicate with paid staff on a regular basis to determine volunteer staffing needs

 

    Provide support for paid staff with regard to volunteer performance issues, concerns, and incidents (including assistance with documentation, progressive discipline, performance improvement plans, suspension/termination)

 

Reports To: (varies with agency)

Time Commitment: 15 – 20 hours/wk; volunteer would make scheduling arrangements with supervisor

Relationships: Would receive primary work direction from assigned supervisor and would also collaborate with all program coordinators/directors

 

Qualifications:

     Working knowledge of basic elements of volunteer program management preferred, but willing to learn

     Appreciation of settlement house history, values, and purpose in the community

     General office skills, including phone experience and etiquette, knowledge of filing and other record-keeping systems, professional behavior in work setting

     Ability to manage time and projects effectively; organized

     Self-directed, able to take appropriate initiative

     Ability to interact respectfully and non-judgmentally with people from diverse backgrounds (ethnic, socioeconomic, religious, etc.)

     Excellent written and verbal communication skills

     Familiar with computer programs and software systems (Word, Excel, Access)

     Ability to form and maintain positive, constructive working relationships with others

     Ability to problem-solve and generate creative solutions to program challenges and situations

     Enthusiastic team player, positive attitude about helping others achieve their potential

  

Training/Placement Requirements:

     Criminal Background Clearance check required prior to placement

     Drivers’ abstract, with no more than 2 points assessed on license

     Participation in agency’s volunteer orientation sessions

     Upon placement, initial participation in all preliminary training for agency programs that involve volunteer staff; periodic re-training strongly recommended

  

Budget Support: Agency will provide workspace, training, and other tools necessary to successfully complete projects and assignments
